- Level & Responsibility: This role is at Executive level, reporting to the Senior People Operations Manager
- Salary: £28,000 - £32,999 per annum, depending on experience plus a 10% bonus scheme

The role
We are looking for a People Operations Coordinator to join our central People Team here at SMG. In this role, you will play a pivotal part in the People Operations administration with a focus on process optimisation across the employee lifecycle. You will support the growth of our business with data driven insights, manage core people functions such as the employee lifecycle, payroll, benefits and reward, whilst always thinking about ways to identify opportunities for process improvements. What you'll be doing
We pride ourselves on creating challenging and exciting opportunities, meaning that no two days are the same. However, here's an idea of what your responsibilities will look like:
HR Administration & Advisory Support:
- Own and manage a variety of tasks across the employee lifecycle including: letter creation (pay rises, promotions, etc.), processing invoices and referral fees, producing ad hoc reports, managing employee data in the HRIS (new starters, benefits and leavers), administering exit interviews and managing the HR Inbox.
- Conduct audits of employee files and the HR system, ensuring compliance and accuracy of documentation (contracts, work plans, employee letters).
Continuous Improvement & HR Data Analytics:
- Assist the Senior People Operations Manager with ongoing projects and initiatives, contributing to the continuous development and growth of the business.
- Work closely with Senior People Operations Manager to drive this technological transformation, ensuring that all systems and processes align with our goals for scalability and operational excellence.
- Lead efforts to ensure the build of our new HRIS is continuously improving, automating all manual processes once we have the tools in place, regularly evaluating the performance of the system.
- Provide data driven insights into exit interviews, employee turnover, retention, EDI and other key HR metrics, using analytics to guide strategy and decision making.
- Lead the probation process, serving as the first point of contact for managers and employees. This includes sending probation reminders, conducting check-ins, updating systems, and issuing probation outcome letters.
- Continuously review and improve the probation process, ensuring trends are identified and addressed, collaborating with the people experience team to ensure performance management is dealt with promptly during the probation period.
- Support the bi-annual performance review cycle and quarterly review process, ensuring that performance evaluations are communicated, tracked, and completed effectively through the HR System.
Training & Development Coordination:
- Ensure 'SMG Uni' is running smoothly, assisting with the coordination and setup of training across the business.
- Manage the learning platform, ensuring timely updates and track employee development progress.
- Oversee the administration of the Uni Fund, including monitoring requests, managing the inbox, booking training sessions, paying invoices and tracking fund usage within budget.
Payroll, Benefits & Compensation:
- Support monthly payroll processing, ensuring accurate administration and input of employee changes such as new starters, leavers, benefits and all other changes.
- Manage and update employee data on Flexcel, ensuring compensation changes, new starters, and leavers are processed accurately.
- Lead the bi-annual bonus process, including creating and distributing bonus letters, ensuring timely and accurate payroll delivery to employees.
