The role
We have an exciting opportunity for a HR Coordinator to join us on a 1 year fixed-term contract to cover maternity leave, working across all three of our agencies, supporting and being responsible for a multitude of administration / assistant tasks to ensure we provide the best employee experience. The role will effectively support with the continuous growth of the business, supporting the HR Manager with a number of exciting people team projects and additional responsibilities to broaden your HR knowledge.
We work in a hybrid way at SMG, empowering people to work where is most effective for them, the role, the team & their key stakeholders. For this role, it will be important for there to be a weekly presence in our London office, enabling you to build effective relationships across the business and support managers & employees with day-to-day administration.
What you'll be doing
We pride ourselves on creating challenging and exciting opportunities, meaning that no two days are the same. However, here's an idea of what your responsibilities will look like:
HR Administration / Advice:
- Own and action all re-occurring employee administration/assistant tasks (including, but not limited to, letter creation, confirmation of pay rises/promotions, ad hoc reports, invoices, referral fees), whilst proactively identifying opportunities to improve processes or ways of working for the People Team.
- Keep the HR Inbox up to date to ensure employee and manager queries are quickly resolved.
- Support with processing employee data for monthly payroll, including administration of the new starters, leavers, and benefit packages (including Pension, Cycle to Work & Loans).
- Ensure employee personnel files and information are accurately maintained and updated on our HR Information System (CharlieHR), with all key documentation attached (contract of employment, employee letters and workplans etc).
- Conduct annual audit of the HRIS, employee files using audit checklist to ensure business maintains compliant.
- Create quarterly dashboard to track trends to share with exec committee (inc D&I data).
- Support managers and employees with queries & providing HR advice in a timely manner, including attending appropriate meetings where necessary as a People Team representative.
- Own and manage the Maconomy process to ensure employee expenses are captured and processed.
- Support the HR Manager with people team projects and additional responsibilities, to continue developing and supporting with the growth of the business.
- Support and own the family leave processes (ahead of, during and after time out), ensuring correct documentation is collected etc.
Probations:
- Be the first point of contact for managing the probation process, this includes sending probation reminders to managers, supporting and checking in with managers, updating CharlieHR and trackers, and issuing letters (pass, extension & fail).
Offboarding:
- Manage the off-boarding process, supporting employee & line managers with relevant documentation & payroll updates.
- Send out and collate exit interview survey data, proactively reviewing to identify trends and present opportunities for improvement.
- Work closely with the SMG University team on delivering best-in-class internal training programmes and courses, helping with the coordination and set-up of training courses across the business.
Training:
- Manage our learning platform, proactively updating where needed.
- Manage the administration of Uni Fund and tracking of usage (monitoring inbox, responding to emails, booking training, tracking on the new budget tracker).
Reward:
- Support with performance grades, quarterly reviews, and reward programmes throughout the year, for example, setting up on CharlieHR, sharing comms, tracking workplans.
- Support the bonus process twice a year, including the letter creation and distribution.
- Manage employee data on Flexcel, updating reward changes, archiving leavers and setting up new starters, as well the updates for compensation tool.
What you'll need to have / be
- Previous HR Assistant / Coordinator experience within a similar and/or fast paced organisation, specifically with effectively managing/supporting the full employee lifecycle (inclusive of payroll).
- Motivated, passionate to learn and wants to strive towards achieving the best possible employee experience.
- Effective communication and relationship building skills, working effectively with employees and managers.
- Strong attention to detail and be eager to learn/ take on feedback.
- Good organisational skills and time management to effectively manage workload in a fast-paced environment.
- Proficient with Word, PowerPoint and Excel.

The process
- We will invite you to a first interview which we try to keep relatively informal, so it gives you the opportunity to share your authentic self. The hiring team will be looking to understand more about your experience and why you're interested in working with us.
- There will be a second interview which will last a little longer, and involve some form of task to showcase your ability to do the role.
- We then invite you to a meet & greet which is an opportunity for you to meet the team you'll be joining and ask them questions about the role and wider business.
